So Smart Mail Privacy Policy
Effective date: October 18, 2026
So Smart Mail brings the mailboxes you own into one inbox and sorts the mail. It is an app from So Smart Apps LLC ("we", "our", "us").
This policy explains what So Smart Mail collects, why, and who can see it. It adds to our
general Privacy Policy; where the two differ for So Smart Mail, this one applies.
The short version
- So Smart Mail does not store message bodies. A body is read to sort it and then discarded; the app keeps the sender, subject, a short snippet and the sorting result.
- Some mail content is analyzed by an AI service (Claude by Anthropic) to sort it and to answer your questions.
- We do not sell personal information, we do not use your mail for advertising, and the app has no purchases or subscriptions.
- Disconnect a mailbox or delete your account at any time in Settings.
Information we collect
Account information. You sign in with email, Google or Apple. We receive your email address, your name and a sign-in identifier. We never receive your Google or Apple password.
Mailboxes you connect. When you connect a Gmail or Outlook / Microsoft 365 mailbox, you sign in with that provider and approve access. We store access tokens on our servers so the app can read, sort and act on your mail. For each message we keep the sender, recipients, subject, date, a short snippet, labels and folders, and the sorting result (the bundle it belongs to, a one-line summary and any action items). The message body is read to sort the message and then discarded. When you open a message, the full message is fetched live from your mailbox and is not saved.
Your settings and decisions. Rules, sender decisions (where a sender's mail belongs), labels, snoozes, and the senders you unsubscribe from or mute.
Calendars. Calendars from your connected accounts, and calendar (ICS) links you add, are synced so Gidget can answer questions about your schedule.
Microphone. Used only when you tap the mic to dictate a question to Gidget or a bug-report voice note. Speech is turned into text by your device's speech recognition.
Diagnostics.
- Bug reports. If you send one (tap the floating bug button, or shake your phone, and fill in the form), or if the app sends one automatically after an unexpected error, the report contains the description or voice-note transcript you give, an optional contact email you type, the error log, the app name, version and build number, and your device model and operating-system version, plus any screenshot or photo you choose to attach. Voice notes are turned into text by your device's speech recognition. Reports go to a So Smart Apps bug-tracking service hosted on Google Cloud.
- To cap AI cost, we keep counts of AI requests per account per day.
How we use information
- To show your mailboxes in one inbox, sort mail into bundles and search across them.
- To carry out what you ask: reply, forward, compose and send through your own mailbox; archive, trash, label or snooze (mirrored back to your mailbox, with a short undo window); unsubscribe from senders.
- To answer your questions about your mail and calendar with Gidget.
- To fix bugs, keep the app secure, and answer support requests.
We do not use your mail for advertising, we do not sell it, and we do not use it to build profiles for anyone else.
AI processing
- Sorting: the sender, subject and up to the first part of a message body are sent through our server to Anthropic's Claude AI service to choose a bundle and write a short summary and any action items. The body is not saved.
- Gidget: your question, with the message details and calendar entries needed to answer it, is sent to Claude. Suggested actions (such as filing messages under a label) are shown for you to approve, with undo.
- Send to So Smart Vault: if you choose this on a message, that one message is read and Claude extracts the login or PIN in it; the result is shown to you once and handed to the So Smart Vault app on your device. It is not saved by So Smart Mail.
- Anthropic processes these requests under its own terms. AI output can be wrong, and each answer has a Report button.
Who can see your information
- You. Your mail data is private to your signed-in account.
- The people you email, through your own mailbox provider.
- Service providers that process data for us, listed below.
- Legal and safety. We may disclose information if the law requires it, to protect someone's safety, or in a sale or merger of our business, in which case this policy continues to apply.
Service providers
- Google Firebase / Google Cloud: sign-in, database and cloud functions.
- Google (Gmail) and Microsoft (Outlook / Microsoft 365): your connected mailboxes and calendars.
- Anthropic: AI processing described above.
- Google Sign-In and Sign in with Apple, if you choose them.
We do not use advertising networks, and we do not track you across other companies' apps or websites.
Google user data (Limited Use)
So Smart Mail's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Gmail data only to provide and improve the user-facing features you see in the app. We do not transfer it to others except as needed to provide those features, to comply with law, or as part of a merger or sale with your consent. We do not use it for advertising, and we do not sell it. People do not read your email unless you ask us to for support, it is needed for security or to comply with law, or the data is aggregated and anonymized.
Retention and deletion
- We keep your information while your account is active.
- Disconnect a mailbox in Settings at any time. You can also remove So Smart Mail's access in your Google or Microsoft account settings.
- Delete your account in the app: Settings > Delete my account. This revokes our access to every connected mailbox, removes Outlook notifications we set up, deletes all of your data stored by So Smart Mail, and deletes your sign-in. Your mail stays in your own mailbox.
- Cannot open the app? Email leon@sosmartapps.app from the address on your account. We confirm who you are, delete the account and reply within 30 days.
- Backups and logs may keep copies for a short time after deletion.
Your choices and rights
- Turn device permissions (such as location, camera, microphone, photos and notifications) on or off in your device settings at any time. Features that need a permission stop working without it.
- Edit or delete the information the app lets you manage.
- Ask us for a copy of your information, to correct it, or to delete it by emailing leon@sosmartapps.app. Depending on where you live (for example California), you may have additional rights. We may need to confirm who you are first.
- We do not sell your personal information and we do not share it for advertising.
Security
Data is sent over encrypted connections and stored on Google Cloud (Firebase), which encrypts it at rest. Access rules limit your records to your
signed-in account and the people you choose to share with. No system is completely secure, so keep your device updated and share only with people you trust.
Children's privacy
So Smart Mail is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy. The updated version will be posted here with a new effective date, and for material changes we will tell you in the app or by email.
